Sophie’s Flats is a design and build company based in Ontario, Canada. We specialize in backyard homes known as ADUs — fully independent living spaces constructed on residential properties. We guide clients through every phase of their project, from design and permitting to construction. Behind every successful build is a well-organized team, and the project coordinator plays a central role in that success.
We are looking for a Project Coordinator to help manage timelines, documentation, and communication across multiple residential projects. You will support the operations team by
Organizing project schedules, tasks, and deliverables
Tracking progress from design through construction
Maintaining digital records, permits, and contracts
Coordinating with designers, trades, consultants, and municipalities
Following up on outstanding tasks and keeping teams accountable
Preparing and sharing project updates with internal teams and clients
This is a key role for someone who enjoys structure, problem solving, and cross-functional teamwork.
We are looking for candidates who
Have experience in project coordination, construction admin, or operations
Are highly organized and detail oriented
Communicate clearly and professionally with a range of stakeholders
Are confident using project tracking tools, spreadsheets, and shared files
Understand construction timelines and residential permitting processes
Are proactive and solution focused with a strong sense of ownership
Familiarity with ADUs or residential building is a strong asset but not required.
